Privacy Policy

Pixodock ("we", "our", or "us") operates the pixodock.com website and the Pixodock server management platform (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

1. Information We Collect

Account Information: When you register, we collect your name, email address, and password (hashed). If you use OAuth (Google), we receive your name and email from the provider.

Billing Information: Payment details are processed by Stripe and Plisio. We store transaction IDs and plan information but never store full credit card numbers.

Usage Data: We collect data about how you interact with the Service — pages visited, features used, API calls made, and timestamps.

Server Metrics: For servers managed through Pixodock, we collect performance metrics (CPU, memory, disk, network) to power our monitoring and AI ops features.

Log Data: Our servers automatically log IP addresses, browser type, operating system, referring URLs, and access times.

2. How We Use Your Data

We use collected information to:

  • Provide, operate, and maintain the Service
  • Process payments and manage subscriptions
  • Send transactional emails (account verification, billing receipts, security alerts)
  • Monitor and analyze usage patterns to improve the Service
  • Provide AI-powered server management features
  • Detect, prevent, and address technical issues and security threats
  • Communicate updates, features, or promotional offers (with opt-out option)

3. Data Retention

We retain your account data for as long as your account is active. Upon account deletion, we remove personal data within 30 days, except where retention is required by law or for legitimate business purposes (e.g., billing records retained for 7 years for tax compliance).

Server metrics and logs are retained for 90 days by default. You can configure shorter retention periods in your account settings.

4. Third-Party Services

We share data with the following third-party services as necessary to provide the Service:

  • Stripe — Payment processing. Subject to Stripe's Privacy Policy.
  • Plisio — Cryptocurrency payment processing. Subject to Plisio's Privacy Policy.
  • Google OAuth — Authentication provider (only if you choose to sign in with Google). Subject to Google's Privacy Policy.
  • LLM Providers — For AI ops features, server commands and context may be processed by AI providers. No personal account data is sent to LLM providers.

5. Cookies

We use essential cookies to maintain your session and authentication state. We do not use third-party tracking cookies or advertising cookies.

  • Session Cookie — Required for authentication. Expires on logout or after 7 days of inactivity.
  • Preference Cookie — Stores UI preferences (theme, language). Persistent.

6. Your Rights

Depending on your jurisdiction, you may have the following rights:

  • Access: Request a copy of your personal data we hold.
  • Correction: Request correction of inaccurate data.
  • Deletion: Request deletion of your account and associated data.
  • Portability: Request your data in a machine-readable format.
  • Objection: Object to processing for marketing purposes.

GDPR (EU/EEA): We process data under legitimate interest and contractual necessity. You may exercise your rights by contacting us.

CCPA (California): We do not sell personal information. California residents may request disclosure of data collected and request deletion.

7. Data Security

We implement industry-standard security measures including:

  • Encryption at rest (AES-256-GCM) for sensitive data
  • TLS 1.3 for all data in transit
  • Argon2 password hashing
  • Regular security audits and penetration testing
  • Role-based access controls and audit logging

8. Children's Privacy

The Service is not intended for children under 16. We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal data, we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or a prominent notice on our website. Continued use of the Service after changes constitutes acceptance.
